We made plans to arrive 2 days ahead of our Heart of Italy tour. Discovered that the refundable room at Dharma Style Hotel used by RS in Rome is notification at least 48 hours in advance, not 24 hours. Our flight arrived an hour too late at EWR for our flight to FCO. United rebooked us the next day through Air Canada and we got a room because there is no ticket counter help at EWR after 8 PM. So to submit this to an insurance company how can I “prove” we could not make our flight ?

Websites like Flight Aware that track flifgts will show the actual departure and arrival time of your flight. Use that and the re-booking confirmation with your original itinerary to show proof.
Here is the website, showing an example. They show flight times for the past 2 weeks.
(Makes me a bit nervous to see that the BA flight we will be taking soon to London has been canceled twice recently.)

And if you do what I did, which is worry about it two weeks later when I returned home, you can email the airline of the delayed flight and they will send you confirmation of the delay.
