travel in portugal and spain

my husband has a business trip to lisbon, portugal and madrid, spain. i know there are forms to fill out prior to arriving in portugal. is there any recommendations, on a site to use such as verifly that would ease the travel through the airports?
also, after madrid, we are visiting a friend in barcelona and plan to take the ave train. will i depart from the central hub station, and is it best to buy tickets now, 3 weeks in advance or wait closer to the time. thanks,

Verify and similar platforms are specific to the airlines that have partnered with them, so looking on your airline's website is the best place to start that.

Yes, now is the right time to buy those train tickets, for the sake of price, availability, and seat selection.

I live in Portugal and am currently in Spain so have recent experience. The airline will likely send you an email with links. But, you can also Google “passenger locator form Spain” and the same for Portugal. It’s Spain Health and Portugal Clean and Safe. You can’t fill them out until a few days before your flights and they require your seat on the plane.

You then receive an email with a bar code. No need to print as long as you can pull up the code on your phone. You can also take a screen shot if you won’t have data access to your emails.

We are staying at the 4 seasons motel in Madrid and will be leaving there to visit a friend in Barcelona. We plan to take the ave train

As Kathryn and others mention, the airline will email you all the requirements and links - there isn't one app (besides google and forum sesrches) fhat will do it.) the airline will usually ask for eqch country's PLF, vaccine card and/or test and passport (when flying outside eu)

From Madrid, trains leave from the Madrid-Atocha station - its a huge station complex close to downtown. If your travel plans may change a bit, buy closer to date because changing tickets can be a hassle. Madrid does not speak a lot of english. Prices will increase but thats the cost of flexibility.

Edit. Just saw that your hotel is a 10 min drive from Atocha. Atocha is huge and has a quick security to get to train, budget a little extra time.
