We should be at the airport by 1:40 pm on July 18
This bus will be the least expensive.
You would take the tram to Villa Costenza pick up the bus there. Travel to Roma Tiburtina and take the train to the airport or to Roma Termini.
Do not try to do this on the day of your flight. Spend your last night at the airport or in the town of Fiumicino.

RometoRio.com is a great website for exploring public transportation options. There is a direct train. With that size group, you need to weigh convenience and cost. I would definitely pay a little more for a direct train than one with a connection.
It’s about 2.5 hrs by train. I would recommend sleeping in Rome the night before your flight. If there’s an issue with the train (delay, cancellation, strike) and you miss your return flight, that could be very costly.

For that size group, traveling from Florence on the day of the flight, would be HUGELY expensive, should you not get there in time. As others have said, you need to be in Rome the night before the flight.
Right now, a group of 6 adults on July 18 to Termini is 27.90 EUR per person for a 9:48 am departure. Add another 14 EUR per person for the Leonardo Express and you get about 42 EUR per person. Not hugely expensive. As was mentioned, you could save 6 EUR per person by taking the regional train from Tiburtina.

One day rental for a 6+ passenger van looks to be $500+ Two vans would run $1k ( plus fuel and tolls) 9 passenger is max size so at least 2 vehicles would be needed.
Very unlikely this would qualify as 'cheapest'
If you are saying you need to be at the airport at 1:30pm because that's 2-3 hours before your flight and definitely don't want to go to Rome the night before as others have suggested, also look at Italo Trains - this week's promotion code is liberi I put that in for July 18 and the 8:43 train from Florence SMN to Tiburtina is coming up with tickets as low as 11.60/person, that's non refundable, not exchangeable. The Economy tickets are ~22.90/person. As someone mentioned above Tiburtina to FCO takes longer but is half the price of the Leonardo Express.
When I did the search on Italo train website, I had to type in the English name for the city Florence and it came up, Roma Tiburtina came up.
Again, all of the above would work IF there are no delays, construction, strikes etc....
Check also how much it would cost to hire a minibus. There are several companies and it might be cheaper than a train for 12 people. However it’s a 3.5 to 4 hour journey from Florence to the FCO airport.

I agree with Roberta. With 12 people, I would get a company with a sprinter to take you.

We are looking at the option of coming back to Rome early morning on July 18th and hire someone to take us to the airport.
Just to remember that on an ordinary driving license you can drive vehicles up to 9 persons including the driver. You need a special license to drive a minibus.
Also remember that driving from Florence to Rome takes at least one hour more than a fast train.
