Greetings. We have reservations for 2 nights stay at the Venice hotel where our RS tour group will stay in September. The hotel confirmation shows us “checking out” on the day that our RS group arrives. This should be ok, right? That is, after our “checkout” on our private reservation, we’re included in the RS group booking? In making the pre-tour reservation we did explain that we’re part of the RS group., which the hotel acknowledged. Just checking out of an excess of caution. Thx!

Yes, that is correct and will be OK. That's how it was done for our 1 night pre-tour stay at our Venice hotel for the VFR tour in October, 2023.

Yes you “check out”, I.e. pay your bill for the 2 nights you are not part of the tour. It does sometimes happen that you will need to change rooms while part of the tour but the hotel will let you know when you first check in.

Hopefully, the hotel can give you the same room you will have for the tour so you don’t have to change rooms. In the past the hotel we’ve been at just has you settle up the morning the tour starts. Very easy.

If the hotel has electronic keys, when you officially “check out” from your pre-tour stay, your key will stop working. Just go to the reception desk and ask them to reset it.

I’ve only taken one Rick Steve (RS) tour, but what I did was email the hotel a couple of weeks before leaving and ask if it was possible to keep the same room for both my pre-tour booking and the RS booking. The hotel responded that it was possible and they would put a note in their records. When I checked in for my pre-tour stay, I mentioned that I had emailed about keeping the same room for both bookings and asked if I needed to do anything on my first “check-out” day and they said no, I could leave my stuff in the room and the same key would work for the full stay. I’m going on a second RS tour this year and sent a similar email to the hotel and they also said it was possible to keep the same room.
